1. Editorial Manager update

This month’s round of system updates and Top Tips for all users of Editorial Manager: Editorial Manager Problem Reporting Form Did you know you can contact Cochrane Support from directly within EM? Use the Contact Us link on the top-left toolbar in EM to open a short webform asking for further details about issues you might be experiencing. Providing the details required on the form will help us answer your query as quickly as possible. You can also bookmark the webform.

Convey Declaration of Interest notifications to authors The automatic emails that fire from Convey after submission, asking authors to complete their Declaration of Interest forms, now include the manuscript number and review title. Previously, these messages referenced the global manuscript ID, which caused confusion for some authors. We have updated the ME guidance on using Convey to create manual lists (e.g. before work begins on a review update) to reflect this change. We are following up with Convey to ask for a future improvement to rename existing lists in Convey (listed by global manuscript ID) with the review title. Submission Flags Flags on submissions and proposals are useful visual cues. They provide additional information about the status of a review in the system. Cochrane Support has recently added new flags at the request of MEs, indicating: - Different review types
- If the review is currently with the Information Specialist or a group Editor
- If the review is due to be transferred to the Central Editorial Service or will be managed by the CRG (for groups in the EIEP pilot)
We can add additional flags on request, so let us know if there are others which would be helpful. See also the Knowledge Base article on Flags.

Inviting reviewers If you are ready to invite reviewers in Editorial Manager, please check that your chosen reviewers have the correct reviewer role before sending invitation or assignment emails. This ensures reviewers receive the correct form in EM. For instance, consumers need to have the role Consumer Reviewer in EM to receive the dedicated consumer form. See also the Knowledge Base article on Inviting Reviewers. Creating new users Before registering a new user (author, editor, reviewer) in Editorial Manager, please check if the person is registered in Archie. If people are listed in Archie, please add them to EM using the same first name, last name and email address. The details in Archie are people’s Cochrane Account details. If you register someone in EM with an alternative email, this creates a duplicate account and people have difficulties logging in. See also the Knowledge Base article on Registering new users. 3. Editorial Manager quiz

The quiz will be aimed primarily at MEs, AMEs and Editorial Assistants, but anyone is welcome to join. It is not intended to be a test of your knowledge, but will be an interactive and fun way to get to know EM. We look forward to seeing you there.

4. Updates to Conflict of Interest (CoI) Policy for Cochrane Library Content
|
|
|
|
|
Minor edits have been made to the CoI Policy for Cochrane Library content (2020) to improve clarity and the following points have been added: - Cochrane Editors who are authors of protocols, reviews, or updates (hereafter termed “reviews”): we have clarified in the CoI policy that Cochrane Editors and editorial staff must exclude themselves entirely from the editorial process for any review on which they are an author, must declare their Cochrane editorial roles in their Declaration of Interest (DoI) form, and must state their editorial role and lack of involvement in the editorial process in the DoI statement of each review they author. A summary of the process followed to retain the independence of the editorial process should be detailed in the Acknowledgements section of the review. Cochrane Editors and editorial staff excluding themselves from the editorial process for reviews they author and detailing the editorial process followed was previously included in the authorship policy, but declaring editorial roles and stating no role in the editorial process has been added to the CoI policy for visibility.
To facilitate implementation of this change, template text for the Acknowledgements section, which details the contributions of editors and peer reviewers and highlights the independence of the editorial process, is recommended for all protocols, reviews and updates. This template text has been added to the Acknowledgement section of the generic RevMan protocol templates (see item below for further detail) and included in the EPPR. The ME acceptance checklist in Editorial Manager, Instructions for authors on submitting a DoI form and Editorial Manager Knowledge Base have also been updated. - Amendments: we have clarified that DoIs should be collected for all amendments that require a new citation version. The guidance for Managing Editors on using Editorial Manager/Convey has been updated to reflect this. If new CoI have been acquired since the protocol or review was published, meaning that the author group is no longer in compliance with the relevant CoI policy (the CoI Policy for Cochrane Library Content or Commercial Sponsorship Policy), the Research Integrity Editors should be contacted via the CoI referral form for advice on how to proceed.

5. Editorial and peer-reviewer contributions text added to generic RevMan protocol templates
|
|
|
|
|
New text has been added to the ‘Acknowledgements’ section of the generic RevMan protocol templates with the subheading ‘Editorial and peer-reviewer contributions’, which is recommended for reviews. This text gives acknowledgement to those involved in the editorial and peer-review process, and increases transparency in demonstrating editorial independence for reviews where Cochrane Editors or editorial staff are authors on the review. Please note that these edits to the generic template will not have changed any existing templates saved by groups. To do this, you will need to edit your own templates in RevMan and resubmit from RevMan Web or check in for editorial approval from RevMan 5, to ensure the edited version is stored in each group's protocols in Archie.

9. ME/AME job opportunities

a. Cochrane Neonatal Cochrane Neonatal is looking for an experienced Cochrane CRG ME or Assistant ME with extensive knowledge of ME editorial processes; in particular using Archie Workflows, and Editorial Manager—although we appreciate that Editorial Manager is a new system and represents a learning curve for all. The position will be for 1-3 days/week on a contract basis and may be conducted from any location. In the interest of supporting competencies within our group, we are interested in a candidate open to mentoring the interim ME—who has jumped into the role due to unforeseen, recent staffing changes. The Neonatal group’s primary time zones are ADT and EDT; as such, the candidate would, optimally, be able to connect with Editorial Base members for at least a portion of a standard work day (9am-5pm) in one of these time zones. We hope to fill this position as quickly as possible, but understand the candidate may need time to transition into the desired maximum time commitment of up to 3 days/week.
